Privacy Policy

1. Who we are
TradeBook is a receipt-scanning and job-costing app for trade businesses, operated by Benjamin Hyde t/as TradeBook (ABN 45 326 852 642) (“we”, “us”). This policy explains what personal information we collect, why, and who we share it with. We handle personal information in line with the Australian Privacy Principles under the Privacy Act 1988 (Cth).
2. Information we collect
- Account details — your email address and password, handled by our authentication provider. We never see your password in readable form.
- Business details — business name, phone, email, ABN, bank account name, BSB and account number, hourly rate and payment terms. Most of these are stored only on your device; bank details are included on invoices you generate.
- Job and client information — job names, client names, site addresses, scheduled bookings, notes, budgets and expenses that you enter.
- Receipts and photos — images you scan or upload, and the data extracted from them (merchant, date, line items, totals).
- Payment information — handled entirely by Stripe. We store only a customer reference and your subscription status; we never receive or store your full card number.
- Notification details — if you turn on job reminders, a push subscription identifying your browser or device (not your phone number).
- Technical information — standard server logs such as IP address, device and browser type, and timestamps.
3. How we use it
To run the app: signing you in, storing your jobs and receipts, reading data from receipt images, generating invoices, sending job reminders you have asked for, taking payment for your subscription, and keeping the service secure and working. We do not sell your personal information, and we do not use it for advertising.
4. Who we share it with
We use these providers to run TradeBook. Each receives only what it needs:
- Supabase — database, file storage and authentication.
- Vercel — application hosting and server logs.
- Stripe — subscription payments and billing.
- Anthropic— when you scan a receipt, the image is sent to Anthropic’s API so the details can be read from it automatically.
- Apple, Google and Mozilla push services — if reminders are on, these deliver the notification to your device.
We may also disclose information where the law requires it, or to protect our legal rights.
5. Overseas storage
The providers above operate data centres outside Australia, including in the United States and Europe. By using TradeBook you consent to your information being stored and processed overseas, where privacy laws may differ from Australian law.
6. Storage and security
Data is transmitted over encrypted connections and access to your records is restricted to your own account at the database level.
One important limitation. Site photos and generated invoice PDFs are stored at web addresses that are not individually password-protected. The addresses are long and hard to guess, but anyone who obtains one — for example by being forwarded an invoice link — can open that file without signing in. Please treat invoice and photo links as confidential. Remember that invoices show your bank account details.
No online service can be guaranteed completely secure, and you share information with us at your own risk.
7. Information about your clients
When you enter a client’s name, address or job details, you are asking us to store that information on your behalf. You are responsible for having a proper basis to collect it and for telling your clients how it is used. We only use it to provide TradeBook to you.
8. How long we keep it
We keep your information while your account is open and for as long as needed to meet legal and tax obligations. You can export everything at any time from Settings → Data & Account, and you can ask us to delete your account and its contents.
9. Your rights
You can ask us to give you a copy of the personal information we hold about you, correct anything inaccurate, or delete your account. Email tradebookhelp.support@gmail.com and we will respond within a reasonable period.
If you are unhappy with how we have handled your information, you can complain to us first, and then to the Office of the Australian Information Commissioner at oaic.gov.au.
10. Local storage on your device
TradeBookstores your business preferences and display settings in your browser’s local storage so they work offline. These stay on the device and are cleared when you clear your browser data. We do not use advertising or tracking cookies.
11. Children
TradeBook is a business tool and is not intended for anyone under 16. We do not knowingly collect information from children.
12. Changes to this policy
We may update this policy from time to time. The date at the top shows when it last changed, and continuing to use TradeBook means you accept the current version.
